You Bought Ten AI Tools and You're Back to Square One

So there's a kind of business owner I talk to now that didn't exist two years ago, and I think there are a lot more of them than anybody's admitting. They didn't ignore AI. The opposite. They tried it everywhere. The CRM shipped an agent, they turned it on. The accounting software got a copilot, they turned it on. They've got a chat subscription, maybe two, for the team. They put an AI notetaker in every meeting. Somebody set up an automation tool to move leads around. Ten tools, give or take, and every one of them is doing something.

And they're back where they started. That's what they tell me, in almost those words.

What actually happened

Each of those tools took one problem and moved it into a different system. That's the whole story. The CRM agent is good at the CRM. The accounting copilot is good at the books. Neither one can see the other. So now you can talk to your CRM in plain English instead of clicking through it, which is nice, but you're still dealing with the CRM problem, which is that it doesn't know what the customer paid. And the accounting tool can summarize your month, but it doesn't know that three of those customers have open support tickets.

So the question that actually runs a business, how is this customer doing, still takes four tabs. You just have a chatbot in each tab now.

We wrote back in March about every platform shipping agents that don't talk to each other, and in July about the ones that arrive in product updates nobody approved. This is what that looks like from the owner's side six months later. It isn't ten solutions. It's ten places the problem lives.

The other costs nobody puts on the invoice

And then there's the stuff that isn't the plumbing. You're paying for five accounts because the team keeps running out of credits on one. Somebody pastes a customer list into a chat window because that's the only way to get the tool to see it, and now your customer list is in a place you didn't decide to put it. And the thing I hear most from owners at this stage, which I understand completely, is I don't really want to hand my whole business to whoever runs the model.

When our team was on the phones earlier this year, the pushback we heard most often wasn't I don't believe in AI. It was we tried it, and it made things up. And then there was one owner who had Microsoft's copilot doing two things for him and was completely happy, and did not want to touch it, because the two things worked and the last time he'd tried something new he lost a week. I get that too. If you've got a Miata that starts every morning, you don't want somebody selling you a Porsche that's in the shop.

What the eleventh tool would have to be

So the answer is not an eleventh tool that does one more thing. If it were, the tenth one would have worked.

The eleventh thing has to sit across the other ten. It has to read the CRM, the books, the inbox, the job system, the meeting notes, all of it, and hold them as one picture where a customer is one customer, not a record in each. Then the question how is this customer doing comes back as one answer, with the deal, the invoice, the ticket and the last job under it, and you can see which system each piece came from. That's not a feature any of the ten can add, because each of them only sees itself. We went through the three doors into a tool a few weeks ago, and this is why the door matters less than where the data lands.

And once you've got that layer, it can do the thing none of the ten were doing, which is work the job instead of answering questions. Overnight, across all of it. Who owes, who went quiet, what's on Thursday, what came in at 9 PM. In the morning you get a list, not a chat window.
