This Privacy Policy serves as our Privacy Notice under the California Consumer Privacy Act (CCPA), the California Privacy Rights Act (CPRA), and similar privacy laws in Virginia, Colorado, Connecticut, Utah, Texas, Oregon, and other US states. It describes what personal information we collect, where we get it, how we use it, who we share it with, how long we keep it, and the rights you have over it. This Privacy Policy is incorporated into and forms part of our Terms of Service.

1. Data Ownership

You retain full ownership of all data, content, and information you provide to or generate through the Service ("Your Data"). Liaison does not claim ownership of Your Data.

2. Data Usage

We use Your Data to:

  • Provide and maintain the Service
  • Process AI-powered insights and automation
  • Improve Service functionality
  • Provide customer support
  • Ensure Service security and performance

3. Data We Collect

We collect and process:

  • Account information (name, email, company details)
  • Payment and billing information
  • Data from your connected business platforms
  • Usage analytics and Service interaction data
  • Integration credentials (stored securely)
  • Business data processed through our AI features
  • Mobile phone number and SMS messages, if you enroll in our text-messaging program (see Section 14)

4. Third-Party Data Sharing

We do not sell Your Data to third parties. We may share data only:

  • With service providers necessary to deliver the Service
  • As required by law or legal process
  • To protect our rights or the safety of others
  • With your explicit consent

5. Data Deletion

You may request deletion of Your Data at any time by contacting support. We will delete Your Data within a reasonable timeframe following your request, except where retention is required by law.

  • Know what personal information we collect and how it's used
  • Request deletion of your personal information
  • Opt-out of the sale of personal information (we don't sell personal data)
  • Receive equal service regardless of exercising your privacy rights

We collect the following categories of personal information:

  • Identifiers (name, email, company name)
  • Commercial information (subscription details, usage data)
  • Internet activity (platform usage, feature interactions)
  • Professional information (connected business data)

We use this information to provide our Service, improve functionality, and communicate with you about your account.

7. Sources of Personal Information

We obtain personal information from the following categories of sources:

  • Directly from you — when you fill out a form, sign up for a demo, subscribe to our newsletter, chat with us, or create an account
  • Commercial data providers — including Apollo.io and ZoomInfo, used for lead generation and sales prospecting
  • Publicly available sources — business websites, professional directories, and other public records
  • Third-party services you connect to the platform — when you authorize Liaison to access your business tools (email, calendar, CRM, accounting, etc.), data from those services is provided to us through the authorized integration
  • Automatic collection — when you visit our website or use the Service, we automatically collect usage data, device information, and analytics

8. Service Providers and Sub-Processors

We share personal information with the following categories of third-party service providers that process data on our behalf to deliver the Service. Each is bound by a Data Processing Agreement that restricts their use of your information to our instructions:

  • Cloud infrastructure and database providers — for hosting, storage, authentication, and compute (including Supabase, Railway, and Vercel)
  • Email delivery providers — for transactional and marketing communications (including Resend)
  • AI and machine learning providers — for natural-language processing, insight generation, and automation. We may use any AI or model providers we determine best serve the Service as it evolves.
  • Integration and workflow platforms — for connecting third-party business tools (including Pipedream)
  • SMS and telephony providers — for delivering and receiving the text messages described in Section 14 (including Twilio)
  • Internal communication and alerting tools — for team notifications about Service events (including Slack)
  • Analytics providers — for understanding how the Service is used and improving it

We do not sell your personal information to any of these providers or to any third party. We may share information when required by law, in response to valid legal process, to protect our rights and the safety of others, or with your explicit consent. As described in Section 14, text-messaging originator opt-in data and consent are excluded from the categories above and are not shared with any third party for marketing purposes.

9. How Long We Keep Your Information

We retain personal information only as long as necessary to provide the Service and fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law. Specifically:

  • Account information and business data — for the lifetime of your account, plus a reasonable period after account closure for backup and legal-hold purposes
  • Email and communication records — up to 3 years after last contact, unless you request earlier deletion
  • Prospecting and lead data — up to 2 years from last activity, unless you opt out or request deletion
  • Audit and security logs — up to 90 days of detail, with summary records retained longer for security investigation
  • Financial records and tax-related data — as long as required by applicable tax and accounting laws

10. Your Privacy Rights (US States)

If you are a resident of California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Delaware, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Rhode Island, or Tennessee, you have one or more of the following rights depending on your state:

  • Right to know — what personal information we have collected about you, the sources of that information, the purposes for collecting it, and the categories of third parties with whom we have shared it
  • Right to access — obtain a copy of your personal information in a portable, readable format
  • Right to correct — request correction of inaccurate personal information we hold about you
  • Right to delete — request deletion of your personal information, subject to exceptions for legal compliance, security, and ongoing business operations
  • Right to opt out of sale or sharing — direct us not to sell or share your personal information (we do not sell or share for cross-context behavioral advertising, but you may still exercise this right as a matter of record)
  • Right to limit use of sensitive personal information — restrict our use of sensitive categories such as precise geolocation, account credentials, and similar data to the minimum necessary to provide the Service
  • Right to non-discrimination — receive equal service and pricing regardless of whether you exercise any of these rights
  • Right to appeal — if we deny a privacy request, you may appeal the decision through the contact method below

11. How to Submit a Privacy Request

To exercise any of the rights in Section 10, email us at support@useliaison.com with the subject line "Privacy Request" and include:

  • The type of request (know, access, correct, delete, opt out, or limit)
  • Your full name and the email address associated with your information
  • The state you reside in
  • Any additional identifying information needed for us to verify your request

We will acknowledge your request within 10 business days and provide a substantive response within 45 calendar days. In cases involving a large volume of information or complex requests, we may extend the response period by an additional 45 days and will notify you of the extension. We may decline a request if we cannot reasonably verify your identity, or if an exception under applicable law permits us to retain the information (for example, completing a transaction, security investigation, or legal compliance).

You may also authorize an agent to submit a privacy request on your behalf. In that case, we will require written authorization signed by you and will verify your identity directly before fulfilling the request.

12. Do Not Sell or Share My Personal Information

Liaison does not sell your personal information, and we do not share it with third parties for cross-context behavioral advertising. We share information only with the service providers described in Section 8 to deliver the Service, and only for the purposes described in this Privacy Policy.

If you would like a written record of your opt-out even though we do not sell or share your information in the statutory sense, email support@useliaison.com with the subject line "Do Not Sell or Share". We will confirm your preference within 15 days and honor it indefinitely.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or in applicable law. When we make material changes, we will update the "Last Updated" date at the top of this Privacy Policy and, where required by law, provide additional notice. We review this Privacy Policy at least once every twelve months.

14. Mobile & SMS Messaging Data

If you connect a mobile phone number to text with Liaison, we collect your phone number and the contents of the messages you exchange with the Service in order to provide and support text-based access to the "Ask Liaison" chat for your personal user account, along with related account, security, and operational messages.

No mobile information — including your phone number and any SMS opt-in or consent data — will be shared or sold to third parties, affiliates, or lead generators for marketing or promotional purposes at any time. The categories of information sharing described in Section 8 (Service Providers and Sub-Processors) exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties, except with sub-processors strictly necessary to deliver the messaging service (such as our SMS/telephony provider) and as required by law.

You may opt out of text messages at any time by replying STOP. Additional messaging program details — including message frequency, message-and-data-rate disclosures, and HELP instructions — are described in the SMS / Text Messaging Terms in our Terms of Service.

15. Google User Data

What we access. When you connect your Google account, Liaison accesses: the email address and basic profile of the connected account; your Gmail messages (including subject, body, and metadata); your Google Calendar events; and the Google Drive files you authorize Liaison to access (currently, the files you select via the Google file picker).

How we use it. Google user data is used to provide the Service's user-facing features to you and your workspace. This includes displaying, searching, and summarizing your communications; sending emails and managing mailbox state (such as labels and read/unread status) that you or your approved automations direct; managing calendar events; and — because Liaison is a business-intelligence platform — normalizing your Google user data and combining it with data from the other business systems you have connected (for example your CRM, accounting, field-operations, and messaging tools) to produce unified dashboards, reports, alerts, and AI-generated insights and recommendations for your workspace. At your direction, information derived from your Google user data may also be used to take actions in those other connected systems on your behalf (for example, drafting a CRM note or a text message from an email thread).

AI processing and model training. Google user data is processed by the AI service providers described in Section 8, acting on our instructions to generate the features described above. We select, add, and change AI and model providers as best serves the Service; providers are not permitted to use your Google user data to train their models. We do not use the contents of your Google user data — your email messages, calendar event details, or Drive file contents — to develop, improve, or train generalized AI or machine-learning models, and we do not permit any third party to do so. Liaison does learn from your workspace to personalize the Service for you and your team (for example, preferences, routing patterns, and saved context, scoped to your account), and we use aggregated usage analytics and Service interaction data — which do not include the contents of your Google user data — to improve Service functionality as described in Section 2.

Sharing and human access. We do not sell Google user data and do not share it with advertisers or data brokers. It is shared only with the service providers described in Section 8 as needed to operate the Service, and with the third-party systems you yourself connect and direct data to. We do not permit human access to your Google user data except with your explicit consent (including when you request support and authorize access for troubleshooting), where necessary for security or abuse investigation, to comply with applicable law, or where the data has been aggregated and de-identified for internal operations.

Protection, retention, and deletion. Google user data is encrypted in transit (TLS 1.2+) and at rest (AES-256-GCM, with OAuth tokens held in a KMS-backed vault), isolated per workspace, and access-logged. It is retained while your account remains active so your workspace history is preserved (disconnecting your Google account stops new collection), and deleted within 90 days after account cancellation or upon a verified deletion request as described in Section 5.

Liaison's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
